Review calendar year 2025 finances to close the books on the year 2. Review calendar year 2026 budget and quotations requested for needed services (i.e. snow removal, accounting and landscaping) 3. Discuss and agree upon bylaw updates (i.e. short term rental proposed verbiage) 2025 Finances: Unit 1 prepared an overview of our 2025 finances including Income, Expenses, Net Income Bank Balance and Next Steps. Decision: Financials were approved and books for 2026 was closed Actions from Finances Review: Unit 2 and Unit 3 to work with Unit 1 to resolve outstanding HOA payments. Note that Unit 1 and Unit 4 are current with their payments Decision: Unit 1 will request an updated quotation Decision: We have received a quotation from Snapbooks for the accounting service,which we have accounted $1,500 in the 2026 budget. Tax Filing will cost$600, initial setup and implementation is$150,and we discussed for the first year of using Snapbooks,we would do 2 Quarters(CY Q1 and CY Q4)of book keeping service which will categorize all bank transactions, reconcile bank accounts, and produce quarterly financials including balance sheet and P&L. For subsequent years,we agreed to do 1 quarter of book keeping service at year end (Q4) for the HOA to review. Actions from 2.026 Budge-; Unit 1 to connect with Snapbooks for a confirmed updated quotation based on our needs Bylaw Updates: Decision: No Changes to the bylaws were made during the meeting Discussion• Autopay clause_added to section 11: For recurring payments on a quarterly basis, the group discussed adding in language to Section 11 of the Bylaws to allow for autopay in certain cases. Actions: Unit 4 to review bylaws to ensure no restriction on autopay function and circulate proposed new verbiage for review and approval to Unit owners. Short-term Rentals: Updated verbiage was circulated by Unit 4 to all Unit owners for approval.The proposal is to remove language regarding$50 review fee by the HOA, and replaced it with language around provision of presenting a valid permit issued by the City of Salem to allow short term rentals prior to each rental. It is ok to circulate the permit more often that prior to each rental. Actions: 1. Unit 2 to provide 2025 permit immediately and 2026 permit immediate after the issuance by the City of Salem. 2.
